Our Listing & Transaction Coordination Services

Below is a list of the tasks we will perform as your listing and/or transaction coordinators.

Preparing a Listing

• Ordering reports from title
• Creating the transaction in Transaction Desk and filling out forms ourselves with gathered information
• Asking our sellers for HOA, POA, trust info (if applicable)
• Sending out 17 Seller Disclosure for our sellers to fill out via Breeze
• Sending out forms for our sellers and agents to sign
• Requesting “For Sale” sign/post install
• Uploading LIP to MLS
• Uploading forms to supplements in MLS
• Uploading pictures to MLS with 40 images provided to us (you will go in and rearrange order of photos)
• Entering open house info
• Making live on MLS
• Entering ShowingTime instructions
• Adding key box and shackle number to MLS
• Creating and uploading to firm's compliance website once we go live

Under Contract

• Send mutual email to all agents, escrow, lender, and our buyers/sellers
• Send escrow our buyer/seller and commission info
• Creating and uploading to firm's compliance website
• Changing status to Pending, Pending Inspection etc on MLS and Transaction Desk
• Keeping track of missing/due forms, docs, signatures etc
• Communication with our buyers/sellers in regards to missing/due forms/docs, including giving them a heads-up ahead of time
• Creating and sending forms (ex. 22Y Modification of Closing, 41A BBA Amendment) for all applicable parties to sign
• Sending title commitment to our buyer/seller to review
• Utility email to our buyers/sellers
• Creating CDA, sending to agent for review, and sending to escrow once approved by the agent
• Ask escrow and lender how we’re doing for closing, 5 days before close date
• Recording inquiry email day of closing

Closing

• Change MLS and Transaction Desk to Sold
• Ask escrow for Combined and Seller/Buyer Settlement Statements
• Send our buyers/sellers final email with ZIP file of their forms
• Order post/sign down
• Sending agent review email to our buyers/sellers
